Role Description - HR Recruitment 1. Role Activities Thanks for joining our HR Team. Your activities include but not be limited to: ● Publishing Opportunities: ○ Identify skill gaps through regular communications with Team Leaders. ○ Translate skill gaps into Volunteer Opportunities. ○ Publish Volunteer Opportunities.. ● Sourcing best-fit Applicants: ○ Be proactive: Search and reach out to best-fit Volunteers. ○ Review Volunteer applications. ○ Add them to Trello after first level of filtration and add yourself as the responsible party for progressing the Applicant.. ● Pre-Qualification Questionnaire: ○ Send Pre-Qualification Questionnaire and Review Responses. ○ Shortlist Volunteers for Interviews. ○ Update Trello card. ● Interviewing: ○ Arrange Interviews and take part with Team Leaders. ○ Test Applicants for Professionalism. ○ Update Trello card. ● Volunteer Agreement: ○ Prepare Volunteer Agreements and obtain signatures. ○ Upload signed Volunteer Agreements to the relevant folder. ○ Update Trello card. ● Dashboard Management: ○ Approve/reject Volunteers on Dashboard. ○ Direct message reasons for rejections. ○ Keep the Dashboard up to date. ○ Update Trello card. ○ Add new team member details to Directory. ● Onboarding and Training: Copyright SkilledUp Life Ltd Page 1 of 4 Prepared by Manoj Ranaweera 7 October, 2022 Role Description - HR Recruitment ○ Onboard new team member immediately upon signing the Volunteer Agreement. ○ Introduce team member to relevant team leader and arrange any training required. ○ Ensure regular submission of daily updates. ○ Update Trello card. ● Volunteer wellbeing: ○ Send Survey 1 at the beginning and review responses. ○ Send Survey 2 after 30 Volunteer days and review responses. ○ Send Survey 3 at the end of the Volunteer Term and review responses. ● Offboarding in coordination with respective Team Leader: ○ Prepare and issue Letter of Recommendation. ○ Leave testimonials on Linkedin and SkilledUp Life profiles. 2. Resources: ● Volunteer Handbook. ● Volunteer Sourcing Process. ● Volunteer Process (Management on Trello). ● Team Directory. 3. Your Team Members: ● Founder & CEO: Manoj Ranaweera ● Head of HR: Refer to Organisation Chart. 5. Onboarding and Training ● You will be onboarded by a HR team member, ideally the member who interviewed you. 6. Monitoring Progress ● Submit Daily Updates (on Slack Daily Updates Channel). ● Submit Weekly Updates to Team Leader and CEO. ● Attend Weekly Team Meetings. ● Complete KPI sheet. 7. Taking Part ● You need to actively take part (at least 1 event every fortnight) in attending events such as (events help you with public speaking and building your profile): ○ Twitter Spaces. ○ Linkedin Live Events. ○ Clubhouse Events. ○ Volunteer and Customer Events. ● You need to actively participate in responding to each and every Survey. 8. You must adhere to ● You must only use the company email address for all correspondence, documents you create and software tools. ● Do not use your personal email without permission. ● You should not use Microsoft Word and other external software. ● You must submit daily progress updates. ● If you are ill and cannot volunteer, you need to let us know immediately. 10.Your Performance Metrics ● As a minimum, you must add 1 team member each week. ● Time to review Applications: 48 hours from application. ● Time to send Pre-Qualification Questionnaire: 72 hours from application.. ● Time to review Response to Pre-Qualification Questionnaire: 24 hours from response. ● Time to arrange an interview: 24 hours from response. ● Time to send the Volunteer Agreement for signatures: 24 hours from interview. ● Time to sign Volunteer Agreement from applying: No more than 1 week. ● Time to handover for onboarding: No more than 2 weeks from applying.
