CITY CLERK OFFICE ASSISTANT
This position is responsible for all secretarial and clerical duties for the City Clerk and Mayor. The
majority of the work performed is of a highly confidential nature.
70%…Performs secretarial duties for the City Clerk and Mayor including typing of department
correspondence, letters, permits, forms, reports and other items as directed from rough drafts,
marginal notes, or verbal instruction. Keeps City Clerk informed of significant and important items
requiring his/her attention. Keeps City Clerk informed of the Mayor’s schedule and important items
in his/her absence. Delivers and retrieves documents from other agencies and offices upon demand.
15%…Receives and screens public by telephone and in person and responds to public inquiries,
responsible for answering all telephone calls and taking messages for the City Clerk and Mayor.
Assist City Clerk and Deputy Clerk in maintaining files and a variety of public and confidential
records of the City Administrative Offices (ordinances, resolutions, agreements, personnel files,
public files). Perform a variety of research and assist the City Clerk with special projects as assigned;
coordinate communications with other departments, agencies, and cities as assigned.
10%…Assists the City Clerk with preparation and distribution of City Council agenda. Assists the
Deputy Clerk with preparing vouchers and mailing claims warrants. Assists with the coordination of
the City Council Retreat and the Volunteer Recognition Event. Assists the City Clerk and Deputy
Clerk in researching a variety of subjects. Maintains a tickler file for annual employee evaluations,
expiring agreements and/or contracts. Distributes and tracks bid documents for the Public Works
Department when necessary. Responsible for updating
