Community Ed Room
Rental Contract
1.
Rental arrangements are to be made during normal business hours: Monday through Friday, between 8:00 a.m. and
4:30 p.m. Keys may be picked up at City Hall during these hours.
2.
The maximum occupancy of the conference room is 30.
3.
In order to reserve the conference room, the contract and applicable fees must be submitted to the City Hall at least
ten days prior to event.

Please return the keys during office hours after your meeting, or place in the outside deposit box, at City Hall, after
business hours.

The $100.00 damage deposit fee will be refunded after your event, if rental regulations are met. If all regulations are
not followed, the damage deposit will be retained by the City. Please read the setting up/cleaning up portion of the rental
contract.
6.
Hanging decorations from the light fixtures is not allowed. Should there be any damages or losses incurred, the
renter will be liable for any damage or loss in excess of the damage deposit amount and will be billed accordingly for the
difference.
7.
The sale of liquor is prohibited without maximum liquor liability coverage. Evidence of liquor liability coverage must
be presented at the time of rental. NO KEGS ARE ALLOWED!
8.
The Community Ed Room must be closed at 1:00 a.m. and vacated by 1:30 a.m.
9.
SMOKING IS PROHIBITED IN ALL CITY BUILDINGS

Before leaving, the renter is responsible for ensuring that: all doors are locked, all lights are turned off, the coffee
area is clean, table tops are wiped off, and all debris is picked up.
11.
The renter assumes the entire responsibility and liability, including but not limited to judgments, awards for
damages, equitable relief and defense costs, for any and all claims or causes of action that may be brought against the City
of Victoria as a result of the conduct of the renter’s event at the conference room, including the conduct of any of the
