CORNELL OUTDOOR EDUCATION – VAN RENTAL POLICIES

All van fees go into a vehicle maintenance account that must cover repairs, maintenance, staff labor, licensing fees, parking
permits, inspections and other fees.
1. All drivers MUST complete the “Coaching the Van Driver Certification”; an interactive online driver training
program and be qualified to drive Cornell vehicles (http://www.policy.cornell.edu/vol3_4.cfm. Price is $50 and is
coordinated through COE. Contact Walt Mann for details—255-3802. (Policy does not apply to drivers within the
PE and Athletic department)
2. Students are NOT permitted to drive COE Vans.
3. Van drivers must be Cornell University employees (benefits eligible) and payment must be processed through a
Cornell financial account—e.g. P01-9999. (Policy does not apply to instructors for PE department classes.)
4. There will be a minimum reservation fee of $12.00 per reservation & mileage is billed at $1.38/mile.
5. Unforeseen van maintenance issues may result in reservation cancellation, though every effort will be made to
accommodate your needs to another vehicle, if one is available.
6. There is a $500.00 deductible for all van accidents, and this is charged to the driver of the van or his/her department.
Cornell Outdoor Education will not pay for this deductible.
7. Trips outside of New York State must have 12 or fewer passengers (including driver).
8. Vans returned after the reserved time will be charged a $50 fee. Our vans often are scheduled tightly—returning a
van late may mean that others have to wait. Please respect the agreed upon timeframe.
9. The van must be checked out by the DRIVER of the vehicle, and witnessed by a full time Cornell Outdoor
Education employee.
10. Adhere to all COE and Cornell vehicle and driver policies. The vans are to be driven in a safe and respectable
manner; our name is on the van.
11. If the vans are left in dirty condition then the last user will be charged a $50 fee.
