USE, LOAN, RENTAL, SALE OR TRANSFER OF DISTRICT EQUIPMENT AND FACILITIES
Responsibility - Principals and others responsible for individual buildings are responsible
for use of proper forms, inventory changes, and procedures when district owned equipment or
facilities are used, loaned, rented, or transferred.
Use, loan, rental or transfer contract forms or rules shall be approved by the
Superintendent of Schools or the Superintendent’s designee.
Procedures Effect All - Pupils, employees, or any other persons who borrow for personal,
private, church, public, in service, or school use, or who rent, are loaned, or who transfer or
cause to be transferred any school equipment or facility are covered by these regulations.
Recreation and community education groups are generally exempt from rental fees for
building use, but can be assessed special fees for equipment, custodial and supervisory
services, excessive wear and/or damage of equipment or facilities. Rental and utility fees may
be assessed under special circumstances when approved by the Board of Trustees.
These use rules will not prohibit a teacher, coach, or employee bringing a few outsiders to
use facilities with proper approval from principals or directors when the use is of a recreational
Inventory Changes Due to Equipment Transfer - Permanent transfer of school equipment
from one building to another must be approved by both building administrators with
appropriate changes made in inventories, including those in the central office.
Inventory When Personnel or Pupils Leave the District - Whenever any pupil or employee
of the district leaves due to dismissal, termination, resignation, retirement, or death, the
responsible administrator will make an immediate (within one week) inventory check of
equipment, supplies, and the general area for which the employee or pupil was responsible for.
Shortages, losses, and excessive damages shall be reported together with substantiating
